Special Inauguration Overnight Guest Policy

All overnight guests in the residence halls have been pre-approved and have been issued GW Inauguration identification cards. Guests will be required to produce this ID card and a government-issued photo ID to be signed into the residence halls by their GW student hosts. Guests may be asked for identification at other times during the weekend if stopped by campus police or other local security.

The Inauguration Overnight Guest Policy will be in effect from 7 a.m. on Friday, Jan. 16, to 7 a.m. on Wednesday, Jan. 21. 

Visitors who are not members of the GW community (and do not have a current GWorld card) and visitors who are not approved Inaugural Overnight Guests WILL NOT BE ALLOWED to enter the residence halls from Monday, Jan.19, at 9 p.m. to Tuesday, Jan. 20, at 7 a.m. and again from Tuesday, Jan. 20, at 9 p.m. to Wednesday, Jan. 21, at 7 a.m.

Students should not expect to bring non-registered visitors into the residence halls during these evening hours and should therefore plan accordingly.

As the world and the nation prepare to inaugurate the 44th President of the United States, The George Washington University is thrilled to have such a front row seat!  We understand that you may be planning to have family and friends join you for this momentous celebration.

While we would like to welcome the Colonials family to campus for the Inauguration, there are limitations to our ability to accommodate all who may wish to stay with us.  As such, the University will initiate a special guest policy during the upcoming Inauguration period from 7:00 am on Friday, January 16, 2009, to 7:00 am on Wednesday, January 21, 2009.  We ask that residential students pre-register all visitors so they may be confirmed as approved overnight guests.  Our primary concern is for the safety and security of our residents and the maintenance of an academic environment in the residence halls. 

Students are reminded that they are not permitted to sublease or rent their space per the terms of the Undergraduate Housing License Agreement.

During this special visitation period, residential students may host family and friends as overnight guests.  We ask that you keep in mind that the maximum number of overnight guests in each building is a set capacity. Guests will be approved on a first-come, first-served basis with consideration given to the individual demand of each residence hall.  Please also note that cots will not be available during this time.  Now is the time to initiate conversations with your roommates regarding their plans during the Inauguration celebration so that you can coordinate your visitation needs. 

Hosts must accompany guests at all times for entry into the residence halls.  Guests will be required to show a picture ID at building entry and may be asked to produce identification at various other times during the weekend if stopped by campus police or other local security.  Guests may not sleep in common spaces or hallways and should familiarize themselves with emergency safety and evacuation procedures in the residence halls. 

Students are able to pre-register their guests with our simple online application.  Please have the full name and contact information, including an email address and a mobile phone number, for your guest(s) handy as this will expedite your application. Contact information is requested so that the individual may be reached in case of an emergency.  Guest lists will be provided to the GW Office of Public Safety and Emergency Management.

All requests are due before Friday, December 12, 2008.  Due to the heightened security surrounding the Inauguration, as well as the desire to give you and your guests the opportunity to make travel arrangements, this is a firm deadline.  If your guest can be accommodated, you will receive a confirmation on or before 9:00 a.m. on Friday, December 19, 2008. 

Please Note:  The University reserves the right to change the overnight guest policy at any time for health or safety reasons or at the request of local authorities.  Guests should have a plan for backup/alternative housing arrangements in the event that circumstances require securing the halls and preempting the guest policy.
