COVID-19: Aug 6, 2020: Reminders About Your Stored Belongings

Dear GW Residential Students:

This message is to our students whose belongings are in storage as of last Friday, July 31. Throughout the past week, the moving companies have provided information about additional pick-up times at their warehouse, shipping and local delivery options. This GW update serves to summarize the information shared to date and detail what’s to come in the next couple of weeks. However, please keep in mind that we may have to make adjustments during these uncertain times.


Students Approved to be in Campus Housing in Fall 2020

If you are one of the students notified this week that you have been approved to live in campus housing this fall, we are working with the moving companies to have your belongings placed in your new room assignment. As you unpack, if your item is damaged, missing, or you find an item that is not yours, please follow the instructions outlined below.

Also, as you settle into your room, a professional staff member from Campus Living and Residential Education (CLRE) will be checking in with you within 24 hours of your arrival. Please ask the CLRE staff member any questions related to your belongings. They will be able to help you determine the best next steps. Please do not contact the moving companies directly once you are in your room with your belongings.


Students not Returning to Campus Housing in Fall 2020

For those of you not returning to on-campus housing, you have four options to choose from.

BY AUG. 31, you must notify your moving company of your decision out of the options below. While some of these options will be available through Sept.30 (see additional details), we need to know your intentions before Sept. 1.

  • Pick-up directly from your moving company’s off-site warehouse;
  • Ship your belongings;
  • Schedule a local delivery to an off-campus location w/in 5 miles of campus, based on availability;
  • Continued Storage.

On-SIte Pick-Up at the Warehouse (Now through Sept. 30):  All three moving companies are offering extra dates and time slots at their warehouse for a no-contact pick-up through the end of September. Companies have been sending out information directly to students offering more dates & times. Please contact your moving company directly to schedule your date & time. If none of the dates & times being offered work for you, and you still want to pick-up, please notify your company by September 1. They will work with you as the volume subsides to make arrangements. Pick-up at the warehouse is at no cost to you, and remember traveling to pick-up household goods is considered essential travel. If you are within a 6-8 hour drive from the D.C. region, this is your best option.  

Shipping (Now through Sept 30): If you would like your belongings shipped to you, at your expense, the companies can make arrangements to ship via UPS. Please understand that while the companies are assisting with on-site pick-ups and redeliveries back to campus, it will take time for them to prepare your belongings for shipping and provide you with an estimate. There also may be some items that they may inform you are not safe to ship, such as computer equipment, TVs or oversized furniture. Shipping is based on weight, size of box and delivery zone and could range between $25 - $75/box. Companies may need to also repack, as your items were packed to store not ship. 

Local Delivery near Foggy Bottom Campus (Now through Aug. 31): Companies can deliver to an off-campus apartment that is located within five miles of the Foggy Bottom Campus, at no cost to you. Delivery dates and times are based on availability and are not guaranteed. Companies will not be delivering on Friday, Aug. 28 because of increased traffic and potential street closures for the March on Washington. Please contact your company directly to inquire if this service is available.

**New Information**
Continued Storage:
Continued storage at the warehouse is available at minimal cost to the student. All three companies will offer continued storage from September through January. The total cost of storage is $120, payable via credit card directly to the moving company at the time of processing. This entails $20/month for storage and a one-time $20 processing fee to transfer ownership from GW directly to the student. Any previous quotes provided or viewed on social media in the last two weeks should be considered outdated information. Once you sign the paperwork to transfer ownership, all communication thereafter is between you and the company; GW is no longer responsible for your belongings.
If the university reopens in January, your belongings will be delivered back to campus. At this time, we are not able to make any predictions about the spring semester, nor do we have a timetable in which we will make a decision about the spring. If the university does not reopen in January, your moving company will communicate directly with you about your options to extend storage. Given the uncertainty of the next couple of months, we urge you to consider one of the other three options in order for you to be reunited with your belongings as soon as possible. 
Please Note: If you choose this option, it is for storage for all of your boxes, as is. The companies are not able to open boxes to identify one or two personal belongings to price and ship separately.

If you forgot the name of your company, please refer to the email we sent on Friday, July 31 for this information. We recommend that your initial correspondence with the company be via email. While we understand you are eager for a quick response, interacting with their chatbots or calling their customer service numbers can sometimes cause confusion as you may not be talking directly to an employee directly familiar with the changing nature of this project.

Other Important Dates:

  • September 30: GW will no longer be responsible for the storage of any belongings that remain in a company’s storage facility.
  • October 1: Belongings still remaining at any of the company owned off-site storage facilities and where other arrangements have not been made for reunification with student because the student has been unresponsive to repeated outreach from either the university or the company will be considered abandoned and unclaimed property, and subject to removal from the storage facility. The university will work with each company to donate any remaining items to worthy causes, if possible.

Damaged Items

During any packing and re-delivery process, one should expect a reasonable amount of settling while boxes are being moved. As such, some items may have scuffs or other marks and should not be considered damaged if they are still able to be used.

Lost &Found

In the unlikely event that during the packing, storage and/or shipping process, one or more of your items of high value or sentimental value seems to be lost, we have a process in place to assist you. On the other hand, when you are reunited with your belongings, there may be an item packed that does not belong to you.

With the university’s move to mostly all virtual instruction and the limited number of students who will be living on campus this fall, the original plans for a Lost & Found Center are under review.  We will still assist students with their lost & found items, however, it is likely we will be assisting those who need help in a more virtual manner. We realize that this fall is not what you were expecting. Us either. We were hoping to see you all back on campus and we’re going to miss the hustle and bustle of the fall semester. We pledge to keep working with you these next couple of weeks to reunite you with your belongings. As we work together, all of us-- the GW team and the three moving companies -- ask for your patience and understanding as we continue to do our best under extenuating circumstances to care for you and your belongings.
