Spring 2025 Move-Out Timeline
Move-Out Deadline: Sunday, May 11, 2025 at 5pm
University residence halls will close and GWorld access to buildings and rooms will turn off at 5:00pm on Sunday, May 11, 2025.
- Students who do not fully vacate the residence halls by 5:00pm EDT on the last day of move-out and are not approved for Extended Stay Housing or graduating will be charged a $150 improper checkout fee.
If you have questions or concerns about damages or potential charges in your space, please talk to your Community Coordinator (or Area Coordinator in Fraternity and Sorority properties).
Graduating Seniors and Extended Stay Housing: Monday, May 19, 2025 at 12pm
University residence halls will close and GWorld access to buildings and rooms will turn off at 12:00pm on Monday, May 19, 2025.
- Graduating Seniors and other students approved for Extended Stay housing who do not fully vacate the residence halls by 12:00pm EDT on May 19, 2025 will be charged a $150 improper checkout fee.

Things to do Before you Move Out
- Submit any FixIt requests for any maintenance concerns in your room/suite/apartment.
- NOTE: Please submit FixIt requests for repairs that are needed in your space. Submitting a FixIt may prevent damage charges from being incurred during the end-of-summer inspection process, but does not necessarily absolve you of a damage charge if the issue is determined to be intentional and not from normal wear and tear. Additionally, submitting a FixIt before your move-out helps us identify and address potential issues in your space before you depart so that we can ask you any questions before you move out. If you have a question on whether you should submit a FixIt request for something you are unsure about in your room/unit, email us at [email protected] or stop by the front desk in Amsterdam during business hours to ask.
- Students who wish to take responsibility for causing damage to their room should reach out to their Community Coordinator (CC) or email CLRE at [email protected] with their name, GWID, building, room number, a picture of the item they damaged, and a statement taking responsibility for the damage.
- If you are not comfortable with your room's condition or your roommate(s) have not yet left and you are not sure they will leave the room in broom clean condition, please reach out to your CC. They will be able to document this information to include in the final assessment of the space.
- Ensure you understand the room departure, broom clean, and key return requirements for move-out. The entire room/suite/apartment must be left in broom clean condition. If you have questions about the broom clean policy, please talk with your CC.
- Update your permanent and current address information in GWeb so that mail may be forwarded to you over the summer.
- Make plans for storage and/or shipping services for your belongings. U Storage is an official partner of GW and the only storage company that may deliver items to your room before your arrival in the fall.
- Complete your GW financial and registration transactions before you depart campus.
Things to do on your Move-Out Day
Blue Carts
Blue carts will be distributed to all residence halls during Finals Week. We ask that you bring your cart back to the building in which you found it when you've finished using it. *Blue carts will be in high demand during the first week of May. Please plan accordingly. If there are no blue carts available, there will be extras available at your Neighborhood Hub site available for check out. If there are not blue carts available at your nearby hub site, please visit us in Amsterdam Hall for a cart.
Returning any Keys
If, throughout the course of the semester, you have borrowed a key from GW Facilities, please return your key to the campus's Key Depot prior to your departure to avoid any charges

- Mount Vernon Campus Key Depot: Front Desk of Somers Hall
"Broom-Clean" Condition
CLRE expects rooms are left in broom-clean condition. Specifically, this means:
- All personal items have been removed from the room, bathroom, common area and the hallway outside your door
- Refrigerator, microwave, oven, and freezer have been emptied and wiped clean
- Cabinets, dressers, closets have been emptied
- All trash has been removed from the room/suite/apartment and disposed of properly
- There is no missing or extra furniture in the room
Students who do not leave their room in broom clean condition will be charged a $250 per resident fee. Students should also utilize their Community Coordinator/Area Coordinator to record any issues within their space that they do not believe they are responsible for prior to leaving.
- NOTE: Requesting staff to record this information does not guarantee that you will not be charge
Check-Out of your Room
Once you've fully removed your belongings and cleaned your space, the last thing to do before departing is check out of your room. Each resident is asked to complete the check out form on the GW Home Portal. Please do not check out until you're ready to depart for the year, as completing this form will turn off GWorld access. Please note that residents who do not complete the check out form will be assessed a $150 improper check out fee, so be sure to take a moment to submit this form on your way out!
Damages and Appeals
Damage Assessment
Following students moving out, members of the CLRE team will inspect each residential space on campus for damages. Normal wear and tear is not considered damage. If damage is found, the cost of repair and replacement will be determined by GW Facilities and assessed to student accounts. Damage to common areas will be assessed to all occupants of a space unless an individual or individuals take responsibility for the damage by emailing [email protected]. Notification of damages will happen during the summer and will be sent to the student's GW email.
Appeals
For students who are assessed a damage charge or broom clean fee, there is an appeal process:
- All students who wish to appeal a charge must appeal individually. One student cannot appeal on behalf of an entire room.
- Appeals based solely on the fact that a student was not the last person to move out of the room will not be granted.
All communication regarding move-out charges and appeals will be sent to your GW email account. You have until July, 19th, 2024 at 5 PM EST to submit an appeal. Any appeals submitted after this deadline will not be considered. Once you submit your appeal, please allow up to 10 business days for review.
Shipping and Storage
While GW is not able to offer specific storage space for summer and other extended periods, the University partners with U Storage for shipping and storage needs.
Green Move-Out
Green Move-Out, a major university initiative, makes the residence hall move-out process more environmentally- and community-friendly through a multifaceted donation drive. During the Spring Semester move-out, students drop items such as bedding and linens, non-perishable food items, clothing, and shoes into boxes in residence halls labeled with a Green Move-Out sticker. These items are then bagged by student volunteers and donated to local charity partners. Every year, Green Move-Out prevents over 30,000 pounds of reusable goods from ending up in landfills. This initiative is made possible through the support of an unprecedented partnership of students, staff, and faculty volunteers. Move-Out Tips to Avoid Charges and Headaches
- Do not pack items in black or other garbage bags. These items may be mistaken for trash and items taken to the dumpsters cannot be retrieved.
- Do not leave items unattended in lobbies or other common areas.
- Make a plan with your roommates/suitemates to ensure your space is left in Broom-Clean condition.
- Submit any FixIt requests for your space.
- Remember that the university is not liable for personal items left behind. Once students depart campus, any items left behind will be considered trash and properly disposed.
- Keep your GWorld Card in a safe place over the summer to avoid having to pay a replacement fee.
- Summer Housing residents who are not vacating their rooms should remove all items from bathrooms and other common areas to allow for cleaning. If you move into a room that has not yet been cleaned, please place your belongings on top of your beds until cleaning is complete.
- If you’re graduating, consider staying in touch with your alma mater through the Alumni Online Community.
Move-Out FAQs
- I signed up for Room Renewal and I'm going to live in the same space next year. Can I leave my belongings in the room?
No. Our residence halls are used over the summer for different groups that visit GW. All spaces need to be vacated before the beginning of summer for cleaning.
- Where do I get a Blue Cart?
Blue carts will be available in each residence hall. We ask that you bring your blue cart back to where you found it when you're finished. If there are no blue carts in your building, there will be extras available in your Neighborhood Hub location.
- Will there be parking available for move-out?
CLRE recommends using one of the public parking garages in Foggy Bottom for moving out.
- Do I need to check out of my space?
Yes! CLRE will be distributing information directly to student emails with a form to complete once you're leaving your space. All students are required to complete the check out form. Those who do not will be assessed the $150 improper check out fee.
- I need to stay past my deadline. What do I do?
If you need to stay after May 11, you can request Extended Stay Housing. All students approved for Extended Stay must vacate by May 19, 2025 at 12pm. Graduating seniors who need to stay past May 11 need to request Extended Stay.
- What happens if I receive mail after I move out?
If you anticipate continuing to receive mail at GW, please ensure that you have updated your forwarding address in GWeb. Also change your address for any banking, credit card, or subscriptions you receive. Mail forwarding adds additional time to the amount of time it will take for you to get your mail.

- My roommate caused damage. How do I ensure that I don't get charged for it?
Please encourage your roommate to claim responsibility for the damage by emailing CLRE at [email protected]. Your roommate should include their name, GWID, building, room number, a picture of the item they damaged, and a statement taking responsibility for the damage. If CLRE is not able to determine who caused the damage, the charge will be split among the occupants of the space.
- Can I store my things on campus during the summer?
GW does not offer summer storage. However, we partner with U Storage for shipping and storage needs.
- Can I put my belongings in my Fall 2025 room?
No. Our residence halls are used over the summer for different groups that visit GW. All spaces need to be vacated before the beginning of summer for cleaning.
- How is damage assessed?
Damage is initially assessed by a member of the CLRE team. The team looks for damages that appear to be beyond normal wear and tear. Facilities will confirm damages and assess a cost for labor and repairs, which will be billed to student accounts and communicated to students over the summer via GW email.
- My suitemates already left. Can I store my packed belongings in that space while I finish packing?
Do not store your belongings in any space other than the one you're assigned to. Our rooms are cleaned quickly as soon as we close, and our housekeepers need to fully clean vacated spaces after someone leaves.
